Chapter Scope

This chapter comprises general guidance that applies to all works and expressions in the Name Authority File. It also comprises guidance for works and expressions other than those included in the three related chapters listed above.

Sources to Consult

Use this section in conjunction with the following sources:

  • RDA chapters 5, 6, and Appendices
  • DCM Z1 (Library of Congress’ Descriptive Cataloging Manual, section Z1, Name and Series Authority Records): relevant fields, including field 046 (Always consult and follow, unless instructed otherwise.)
  • MARC 21 Format for Authority Data
  • LC Guidelines (accessible from MARC 21 Format for Authority Data in Cataloger’s Desktop)

Works vs. Expressions

  • Consult RDA/LC-PCC PS 6.27.3

Most titles that GPO establishes are for works. Occasionally, GPO establishes language expressions (see Name Authorities: RDA, Works & Expressions: Series). Although examples are lacking, it is possible that GPO could establish expressions for specific content type (see RDA 6.27.3 and 6.9).

What to Establish in the Authority File

Very general guidance is found in DCM Z1: Introduction, near the bottom of: Name authority records (NARs), under “Additional guidelines for the creation of titles of works or expressions are listed below.”

GPO Practice

In practice, GPO rarely establishes works or expressions that are not series, laws, or treaties. For works or expressions other than series, laws, or treaties:

  • Establish:
    • Titles of the following works or expressions, when needed as a subject (6XX) or related work (700, 710, 711, or 730) access point:
      • Serials, monographs, or integrating resources that are not represented by a PCC or LC bibliographic record
      • Non-esoteric (well known) computer programs and software, motion pictures, television programs, radio programs, works of art, and musical works or expressions
  • Do not establish:
    • Titles of the following works or expressions:
      • Serials, monographs, or integrating resources that are represented by a PCC or LC bibliographic record
        • When needed as a subject (6XX) or related work (700, 710, 711, or 730) access point, use the authorized access point from the PCC or LC bibliographic record to represent the work/expression
      • Esoteric (not generally known) computer programs and software, motion pictures, television programs, radio programs, works of art, and musical works or expressions. (If needed, consult an authorities liaison and your supervisor for specific determinations of esotericism.)
        • Do not include a subject access point for such a title in the bibliographic record.
        • Instead, include a broader subject string, such as shown in the following three examples:

    • Before adding a title-only (430) variant for a name/title AAP, browse both the authority and bibliographic files by title to ensure there is no conflict.
      • If a conflict is found, resolve the conflict by adding an additional element to either the variant that you are adding or to the existing title found in the catalog.
      • Consult the series liaison if needed.

Record if available.

When the coverage is contained within a single date or year, repeat the date or year in both the ǂk beginning or single date created and ǂl ending date created.

336 – Content Type

  • Only use this field for expressions for specific content type (rare, examples are lacking)
  • Consult:

370 – Associated Place

  • Include ǂc for associated country, even when ǂg is present.

377 – Associated Language

  • Only use this field for language expressions (translations or language editions)
